Creating Your Workshop Funnel in HighLevel

Step 1: Setting Up Your Webinar Funnel

In HighLevel, I prefer using the built-in Webinar Funnel option because it simplifies the page-creation process.

  • Create a new Webinar Funnel.
  • Choose On-demand (for evergreen availability).
  • Provide a name (e.g., “Quick Start Guide to HighLevel”).

Step 2: Building Your Registration Form

Use HighLevel’s built-in form builder to keep all your data centralized:

  • Go to Form Builder → Add New Form.
  • Include only essential fields (Name & Email recommended).
  • Customize the styling to match your branding (transparent background, simple buttons).
  • Set the redirect URL to your confirmation page once you’ve built it.

Step 3: Uploading Your Workshop Video

  • Prepare your video file (less than 4GB).
  • Upload directly into HighLevel.
  • Select it for the webinar broadcast page.

Step 4: Customizing the Registration and Confirmation Pages

Keep your registration page clean and simple. In my experience, a minimal design reduces friction and increases conversions, especially with warm traffic. I recommend using the built-in pop-up forms for a smoother user experience.

For the confirmation page, include clear instructions about what happens next—particularly that the viewer should check their email. I also used this page as an opportunity to upsell a complementary offer (like an affiliate link or your own product).


Designing the Workshop Watch Page

The watch page is crucial because it’s where attendees engage with your content and your special offer. Here’s my recommended approach:

  • Include your workshop video clearly at the top.
  • Allow video controls (pause, rewind, picture-in-picture) since this is educational content.
  • Clearly display your limited-time special offer below the video.
  • Add HighLevel’s dynamic countdown timer for urgency.
  • Showcase testimonials, bonuses, and a strong, visible CTA.

Implementing Scarcity with HighLevel Countdown Timers

Scarcity works. HighLevel’s built-in countdown timers are dynamic, meaning each person sees their own unique countdown based on when they entered your funnel.

Here’s how to set it up:

  • Go to Marketing → Countdown Timers.
  • Choose Dynamic Timer, set the duration (I recommend 72 hours for workshops).
  • Redirect expired timers to an alternative landing page.
  • Insert your countdown timer on your offer pages and in your follow-up emails.

Tip: Always append the ?contact_id={{contact.ID}} query to your links in emails to maintain accurate countdowns.


Crafting Your Automated Email Sequence

Your automated email sequence is your primary follow-up tool. Here’s the strategy that has consistently performed well for me:

Email Sequence Overview:

  1. Welcome Email: Links directly to the workshop (no selling yet).
  2. Offer Introduction (48 hours left): Introduces your special offer and scarcity.
  3. First Reminder (24 hours left): Highlights offer details and bonuses.
  4. Final Reminder (4 hours left): Uses urgency and testimonials to seal the deal.

Advanced Conditional Logic:

Use conditional logic within HighLevel’s workflow automation to differentiate emails based on user actions (e.g., if they’re already a member or have purchased).


Advanced Tracking: Video Engagement (Optional)

HighLevel also offers video tracking to trigger automations based on how much of your workshop a viewer watched. This can be powerful for sending targeted follow-up emails to re-engage viewers who left early.

Note: Currently, videos must reside directly in your main HighLevel media library—not a subfolder—for the video to appear in a workflow automation.


Optimizing Your Checkout and Member Pages

Don’t overlook your checkout and member-specific pages. For maximum conversion:

  • Include clear pricing details and reiterate the limited-time offer.
  • Reuse testimonials and bonus details from your watch page.
  • Provide clear instructions and visuals to maintain trust and reduce friction.

I also recommend having an alternative watch page specifically for existing members, offering upsells or deeper engagement rather than standard offers they’ve already purchased.


Wrapping It All Together with HighLevel Automation

The automation workflow is the heart of your funnel. In HighLevel:

  • Set your trigger as the workshop form submission.
  • Use conditional logic (tags, purchase history) to segment your audience.
  • Insert your email templates to streamline the process.
  • Add timed delays between emails to maintain optimal engagement pacing.

Example Workflow:

  • User submits form → Conditional check for membership → Send appropriate welcome email.
  • Wait 24 hours → Conditional check for purchase → Send offer email (if applicable).
  • Wait another 24 hours → First reminder email with countdown timer.
